Create a tag for each outcome
If the tag you want to use for your Call Outcomes doesn’t already exist, create a new tag for each outcome you’ve decided on in the previous steps.
Create your "saved search" for your contact call list
Use one or more tags to designate who should be IN the call list. This can be as simple as one tag, such as the lead source “Facebook Leads” or you can include only people who have all of 2 or more tags ie- “Facebook Leads” & “Requested Free Report”. In the bottom tag group you will Exclude any contact that has one of the tags that will temporarily or permanently remove the contact from your call list. For example if I exclude those with the “No Answer” tag, they will be added back to the call list after the campaign action runs which removes that tag when the next call should be made (these rules will be set up in Campaign Builder in one of the next steps) whereas if I also exclude contacts with the “Do Not Contact” tag, they will permanently be excluded from the call list going forward once I choose that tag as a call outcome.
Create a custom field for "call count"
You will create a “Custom Field” for the contact record which you will name “Call Count”. This field will automatically have the call count advanced each time a prospect or customer has been called. This call count is advanced using the free FunnelBot “counter bot”. We will use the Campaign Builder decision diamond to set custom follow up based on the number of times the prospect has been called. In the next step, we’ll go into more detail as to how this works and the incredible things you can do using this call count field in the contact record.
Create your follow up rules in Campaign Builder
You will use the tags we created as “call outcomes” as starting points for campaigns. You will start with one general call campaign for follow up when the person doesn’t answer or you leave a voicemail. As a call is made, the counter bot will advance the call count by one. The next step in the campaign is to set the timing for the next call to take place as shown. When the time has passed, the “Remove Tag” action runs and this will remove any of the temporary tags that were used to keep the prospect out of the saved search for the set time. Use the decision diamond to set the proper campaign to start based on the call attempt made. An advanced function would be to send a unique email or text message after each call attempt. For call outcomes where contact is made, you can create basic or complex follow up based on what you feel is appropriate.
